Small and personal with a focus on quality over quantity, the club moulds itself around our guests and their idea of the perfect holiday. For some that might be an action packed week of watersports, yoga and tennis and for others that might be a series of long lazy lunches, time in the sun and being able to really let their hair down whilst our childcare team look after the little ones; whatever they feel like, we’ve got it covered.

With so many moving parts, this is a huge operation and we recruit up to 150 seasonal staff over the summer across a range of exciting positions from watersports instructors to bar and waiting staff, tennis coaches to spa therapists and chefs to nannies. Our staff are a mixture of experienced seasonal workers, hospitality professionals and enthusiastic students. We all work together to create the perfect destination holiday for our guests, with an emphasis on fantastic service, watersports tuition for all ages, and sophisticated socialising.

We are looking for someone to assist our senior management team with recruitment administration and to provide support to the seasonal team during the summer months. You will be based in our UK office during the winter months and then join us in Greece over the summer.

A summer season is a completely unique environment – everyone lives and works together and whilst for most it’s an unforgettable and rewarding experience it can, at times, be overwhelming and exhausting. The wellbeing of our staff is incredibly important to us and we are looking for someone who is caring and approachable who can help us to provide support to the team.

During the winter months, you will support the Head of Recruitment, as well as new applicants, by screening applications, answering queries, scheduling calls and interviews, following up on references and coordinating visa applications, amongst other administrative duties. Knowledge and experience with social media platforms including Instagram would be an advantage as ideally you will also take on our social media posts – creating and scheduling effective content to generate interest in our summer vacancies.

Whilst in Greece, you will work very closely with our department managers to ensure that the needs of our staff are being met and to help resolve any issues or conflicts that arise within the team. There will be a number of duties involved including management of staff accommodation, coordinating staff travel and logistics,  issuing uniform and ensuring all new starters and properly inducted and given a warm welcome.

This is not your regular office job – you will be expected to engage with the team in their place of work, so you may spend some of your time working with the beach team, helping out in the restaurant and being staff driver for the morning. This is a great way to build relationships and identify anyone who may be struggling and need some additional support.

Key Responsibilities

  • Provide administrative support to the Recruitment function including answering calls and emails, screening applications, scheduling interviews, following up on references, A1 applications and coordinating visa applications
  • Create and schedule social media posts
  • Support new hires through the onboarding process
  • Ensure employee records are up to date, copies of any relevant qualifications are attached to their file and contracts have been signed
  • Assist with organising staff travel to Zakynthos
  • Coordinate all staff arrivals and departures in Zakynthos
  • Ensure staff accommodation is setup well at the beginning of the season and rooms and beds are ready for every new arrival at the beginning and throughout the season
  • Coordinate with the operations team and department managers to ensure new starters receive the necessary induction and training and are issued with the correct uniform
  • Be a point of contact for employees who wish to discuss and share any personal challenges they may have both in and out of the workplace. Discuss and agree any necessary course of action with the relevant department managers or the operations team.
  • Resolve issues between the management team and employees
  • Mediate any conflicts within the team
  • Ensure any sick or injured employees are given the appropriate care and support
  • Coordinate with the kitchen team to ensure that staff with specific dietary requirements and/or food allergies are catered for
  • Conduct regular checks of staff accommodations to ensure they are kept clean, tidy and in a state of good repair. Work with the maintenance team to ensure any issues are dealt with quickly and effectively
  • Suggest and implement ways in which we can maintain a high level of staff morale
  • Manage the uniform stock and reissue where necessary throughout the season
  • Coordinate with the operations team and department managers to ensure the appraisal system is being carried out effectively and consistently
  • Maintaining employee records, including sickness, disciplinary and grievance logs
  • From time to time you will be required to take on additional tasks and duties relating to the smooth running of the club

Essential Requirements

  • Previous experience of working in a seasonal environment and in a similar role
  • Strong written and verbal communication skills
  • Strong administrative and organisational skills
  • Strong knowledge and experience of Microsoft Office (particularly Excel)
  • Full driving license
  • Eligible to work in the UK
  • Meet the requirements to be able to obtain a work visa for Greece
